Role Overview
As the Project/Program Manager, you will facilitate smooth delivery of video, written, visual, and social media content by coordinating between clients and creative teams. Your role is pivotal in managing project timelines, scopes, and quality to ensure client satisfaction and team efficiency. Acting as a trusted liaison, you will nurture content pipelines and manage communication between marketing, creative, and technical stakeholders. You will also lead delivery teams, oversee budgets and timelines, and implement the latest AI tools and workflow innovations.
Key Responsibilities
- Lead multiple concurrent projects, both long and short term, ensuring client requests meet deadlines and quality expectations across various markets.
- Plan workflows, determine resource needs, anticipate risks, and collaboratively resolve conflicts to keep projects on track.
- Collaborate closely with creative and social teams to produce visual and written assets while bridging communication between clients and content creators.
- Manage schedules for in-house and freelance writers, facilitate daily scrums, and ensure steady progress against timelines.
- Initiate new projects by defining detailed processes and evaluating resource requirements.
- Supervise a global team of freelance writers, proofreaders, and translators, including onboarding new members as needed.
- Continuously refine project management practices to enhance efficiency and client experiences.
- Serve as the primary client contact for assigned projects, accurately capturing and communicating client needs to delivery teams.
- Set and manage client expectations through clear communication of timelines, dependencies, and project plans.
- Coordinate with sales and product marketing teams to support client outreach and authentication efforts.
- Create case study briefs, schedule interviews, and manage feedback cycles.
- Lead customer outreach initiatives, standardizing where possible to streamline processes.
- Conduct regular client meetings—including weekly, bi-weekly, monthly, and ad hoc syncs—to update projects and document discussions.
- Handle client communications and ad hoc requests as a problem solver and fixer.
- Maintain accurate project documentation and facilitate organization between Distillery and clients.
- Manage budgets diligently and oversee billing for writing and contractor services as required.
- Identify potential business development opportunities, leveraging relationships built through daily operations.
- Participate in new business pitches by creating project schedules and timelines as needed.
- Support internal marketing efforts by organizing tasks and publishing completed content.
Qualifications
- Extensive project, program, or account management experience within creative or technology-driven companies.
- Proven track record in delivering complex projects successfully.
- Skilled in budget creation and management.
- Substantial experience overseeing video production efforts.
- Able to work effectively with varied clients and creative teams in a fast-paced environment that demands high standards.
- Capability to balance creative goals with logistical and financial constraints.
