Role overview
This position combines executive assistance, office coordination, HR administration, and finance support. It plays an important part in keeping senior leadership organised and ensuring that everyday business, people, and finance processes are handled efficiently. The company is seeking a polished, reliable, and highly discreet administrator who is comfortable supporting senior stakeholders in a growing, fast-moving environment.
Key responsibilities: executive and management support
- Deliver strong administrative support to the CEO, CFO, and the wider leadership team, including correspondence handling and meeting coordination.
- Organise board and senior leadership meetings, covering agendas, minute-taking, and follow-through on action items.
- Represent senior leadership professionally when dealing with internal teams and external contacts, while handling communications with discretion.
- Manage office operations, facilities-related matters, and supplier relationships to help maintain an effective workplace.
- Plan and coordinate company events, leadership offsites, and external gatherings.
Key responsibilities: HR support
- Handle the full employee lifecycle administration, from onboarding and contract processing through to offboarding.
- Keep employee information accurate and up to date in the HR system, with full observance of GDPR requirements.
- Support recruitment administration by drafting job adverts, managing candidate tracking, arranging interviews, and coordinating with agencies when necessary.
- Administer employee benefits, manage leave records, and track absences.
- Arrange training and development activities, including bookings, scheduling, and completion record maintenance.
- Produce HR reports, management information, and metrics to help guide leadership decisions.
Key responsibilities: finance administration
- Support the finance team with reports, presentations, and board pack preparation.
- Process supplier invoices, purchase orders, and staff expense claims accurately, with correct coding and timely turnaround.
- Keep financial records organised, compliant, and ready for audit, while following internal control procedures.
- Assist with month-end and year-end administrative tasks and coordinate with colleagues to meet deadlines.
- Help with procurement administration, including supplier and contractor records and contract-related documentation.
Key responsibilities: general support
- Maintain employee records and assist with recruitment, onboarding, offboarding, and training coordination.
- Manage internal communications, shared drives, and document control systems.
- Act as the first contact for incoming external telephone enquiries.
- Draft, review, and polish executive correspondence, reports, and presentations to a high standard.
Requirements
- Background in an executive assistant, office management, or senior administrative role supporting leadership or finance teams.
- Ability to juggle competing deadlines and handle confidential matters with professionalism and tact.
- Experience supporting finance administration, such as invoice processing, expense handling, or document preparation.
- Excellent verbal and written communication skills, including confidence communicating with board and executive-level stakeholders.
- Strong command of Microsoft Office, especially Excel, Word, Outlook, and PowerPoint.
- Excellent attention to detail and a consistent focus on quality.
- Clear judgement and a high level of discretion when dealing with sensitive information.
- Very well organised, self-driven, and able to anticipate the needs of senior leaders.
- A qualification in HR, Business Administration, or a related field is preferred; CIPD or similar is an advantage.
- Interest in renewable energy or the wider energy sector is beneficial.
- Experience in a scaling business or project-led environment is desirable.
- Working knowledge of Irish employment law and GDPR requirements is desirable.
