Role Overview
The organization is looking for a meticulous and initiative-taking HR & Administrative Assistant with practical exposure to UAE visa processing and HR administration. This position involves supporting core HR operations, preparing employment documents, coordinating mandatory appointments, and helping ensure compliance with UAE employment regulations.
Key Duties
- Handle the full cycle of employment visa processing, covering new applications, renewals, cancellations, and changes in visa status.
- Coordinate with PROs, government systems such as MOHRE, GDRFA, and ICP, as well as typing centers, to submit and track applications accurately and on time.
- Prepare and distribute offer letters, employment contracts, amendments, and other HR paperwork in line with UAE requirements.
- Organize medical fitness testing, Emirates ID biometrics appointments, and visa stamping for employees.
- Keep employee files updated in both hard copy and digital formats while safeguarding confidentiality and proper documentation.
- Track visa expiry timelines and follow up in advance to avoid lapses.
- Assist with onboarding and exit processes, including collecting documents and managing clearance steps.
- Support adherence to UAE Labour Law and company HR policies.
- Communicate with government entities and address employee questions related to visas and employment matters.
- Provide day-to-day administrative assistance such as scheduling, filing, data entry, and report preparation.
- Take on additional HR and administrative tasks as needed.
What We Expect
- A bachelor’s degree in Business Administration, Human Resources, or a similar discipline is preferred.
- Between 1 and 2 years of UAE experience in HR support or administrative roles.
- Hands-on knowledge of UAE visa procedures and government portal workflows.
- Understanding of UAE Labour Law and local employment rules.
- Ability to draft contracts and formal business correspondence clearly and correctly.
- Strong precision, planning, and task-management abilities.
- Good working knowledge of MS Office applications, including Word, Excel, and Outlook.
- Excellent English communication skills.
- Professional handling of sensitive and confidential information.
Additional Information
This is a full-time, onsite role based in Dubai, United Arab Emirates. The position requires a candidate who can manage multiple priorities in a busy environment and support both HR and general administrative operations.
