Role Summary
The Events Executive at Fairmont Mumbai is tasked with orchestrating all types of events and banquet functions, including weddings, social gatherings, corporate meetings, conferences, and exhibitions. This role ensures the highest quality guest experiences and flawless event operations while upholding stringent Fairmont brand standards. Serving as the crucial interface between clients and internal teams, the Events Executive drives coordination, communication, and execution from planning to event completion.
Key Responsibilities
- Assist with planning and delivering diverse events such as weddings, social celebrations, conferences, exhibitions, and corporate functions.
- Engage clients to capture event needs and manage expectations effectively.
- Conduct venue tours and site visits for prospective customers.
- Draft and distribute Banquet Event Orders (BEOs) detailing event specifics to all relevant hotel departments.
- Ensure precise documentation and fulfillment of event arrangements.
- Supervise event setups ensuring compliance with client specifications and brand standards.
- Liaise with Banquets, Culinary, Stewarding, Housekeeping, Engineering, Security, and Front Office teams for coordinated delivery.
- Attend events to guarantee seamless execution and swiftly resolve issues.
- Track event timelines and ensure punctuality of all activities.
- Create personalized and memorable experiences for guests.
- Serve as the main client contact throughout planning and execution phases, nurturing strong professional relationships.
- Address guest inquiries and concerns with professionalism and efficiency.
- Conduct follow-up after events to collect feedback and identify improvement opportunities.
- Support banquet and catering revenue goals through identifying upselling chances including menus, venues, or technical services.
- Assist in preparing event proposals, quotations, sales contracts, and other documentation.
- Manage administrative tasks such as maintaining records, processing deposits, billing, event reporting, and updating calendars.
- Support luxury wedding and social celebrations, coordinating with external vendors and entertainers to ensure detailed attention and bespoke service.
- Ensure all events adhere to hotel policies, safety guidelines, local regulations, and Fairmont’s luxury hospitality standards.
- Maintain a professional appearance and conduct at all times.
Qualifications and Expertise
- Bachelor's degree or diploma in Hospitality Management, Event Management, or related field.
- Between two to four years of experience in events, banquets, catering sales, or hospitality operations.
- Preferred experience in luxury hotels or large scale banquet settings.
