Job Overview
As a Groups & Reservations Coordinator, you will oversee and manage all group booking processes, ensuring accuracy and efficiency in handling reservations. This role involves close communication with clients and internal hotel teams, managing group contracts and correspondence, overseeing room availability and rates, and contributing to revenue growth efforts. Success in this position requires strong organizational capabilities, meticulous attention to detail, and a dedication to providing excellent guest service.
Key Responsibilities
- Coordinate and effectively administer group accommodation bookings following established reservation protocols.
- Ensure precise maintenance of booking information including rates, packages, segment codes, and group-specific details within hotel systems.
- Optimize room sales and revenue by managing inventory and availability strategically.
- Deliver outstanding customer service by promptly addressing telephone and email inquiries.
- Communicate with clients regarding group reservations, site visits, sales initiatives, and guest arrivals.
- Follow up on quotes, booking options, cancellations, and opportunities declined by clients.
- Maintain well-organized filing systems, contracts, and records of group communications.
- Ensure adherence to data security protocols, credit policies, and company regulations.
- Assist the Group and Reservations Manager by tracking occupancy trends and business impacts.
- Work collaboratively with team members and provide support as necessary.
Required Qualifications and Skills
- Prior experience in hotel reservations, group administration, hospitality, or customer service is preferred.
- Strong administrative and organizational skills with high attention to detail.
- Excellent verbal and written communication abilities.
- Customer-oriented approach with a passion for delivering exceptional service.
- Capability to handle multiple tasks and meet deadlines in a dynamic environment.
- Proficiency with Microsoft Office suite and hotel reservation software.
- Professional demeanor and appearance consistent with Hilton brand standards.
- Ability to operate autonomously and as an effective team member.
