Role Overview
The HR Administrator position involves supporting the Human Resources department in essential functions like employee record management, coordination of recruitment efforts, payroll administration, compliance with statutory requirements, and managing daily HR operations within manufacturing or engineering environments.
Primary Responsibilities
- Manage job postings on hiring portals, screen applications, arrange interviews, and handle hiring communications including offer and appointment letters.
- Maintain and update employee records including personal files, promotions, transfers, resignations, and confidential documents.
- Monitor attendance and leave data, process leave approvals, and generate monthly attendance reports.
- Collaborate with payroll teams to collect attendance data, assist in salary processing, revisions, reimbursements, as well as benefits and deductions management.
- Ensure adherence to labor laws, maintain statutory compliance records, and assist in statutory audits and inspections related to PF, ESI, PT, gratuity, and others.
- Support employee relations by addressing queries, maintaining grievance documentation, organizing engagement initiatives, and assisting disciplinary proceedings.
- Prepare various HR documents such as appointment letters, confirmation letters, promotion letters, experience certificates, relieving letters, warning letters, termination letters, and policy documents.
- Coordinate performance management activities including appraisal cycles, KPI record maintenance, probation monitoring, and appraisal report preparation.
- Facilitate employee training coordination, maintain training records, and track skill development certifications.
- Handle exit procedures including processing resignations, conducting exit interviews, managing settlements, asset recovery, and issuing relieving and experience letters.
- Generate and maintain monthly HR reports covering manpower, attrition, recruitment status, leave, attendance, training, payroll, and management dashboards.
- Carry out administrative duties such as file management, employee ID and access card coordination, travel arrangements if needed, vendor management for HR services, and office stationery procurement.
Required Skills and Qualifications
- Strong communication skills to effectively liaise with departments and employees.
- Proficiency in MS Excel and general office software.
- Familiarity with HRMS/ERP systems for record-keeping and payroll processes.
- Basic understanding of payroll operations and labor law compliance.
- Excellent documentation skills with attention to detail and confidentiality.
- Effective time management abilities to handle multiple HR activities.
