Role Summary
We are looking for a meticulous and self-driven Virtual Assistant based in the United States to support the diverse administrative and project coordination needs of ORIONYX ENGINEERING LTD. This remote role involves managing schedules, producing documentation, assisting with project management, and facilitating smooth communications internally and externally. The ideal candidate thrives in a dynamic workload, supports various departments efficiently, and contributes to the overall success and productivity of our engineering projects.
Key Responsibilities
- Handle routine administrative duties such as scheduling meetings, calendar management, and systematic filing.
- Prepare, organize, and review a variety of documents, reports, presentations, and spreadsheets.
- Support project managers by tracking timelines, deliverables, and resource distribution.
- Maintain accessible project files and documentation.
- Act as a liaison for communications, managing emails and inquiries promptly and professionally.
- Draft and proofread official correspondence directed to clients and colleagues.
- Manage databases ensuring data integrity and proper categorization.
- Conduct research to gather information that aids ongoing projects.
- Assist in client relationship management, including responding to queries and supporting proposals and contracts.
- Schedule and coordinate meetings, including preparing agendas, taking minutes, and following up on tasks.
- Perform basic bookkeeping activities, including expense tracking and invoice processing.
- Collaborate with finance staff to maintain accurate financial records and reports.
- Manage office supplies and inventory to support operational needs.
- Enhance organizational workflows and systems to boost productivity.
- Use project management tools and cloud services to optimize processes.
- Provide basic technical support for software utilization.
- Identify and recommend process improvements.
- Keep abreast of industry trends and administrative best practices.
Candidate Qualifications
- High school diploma is mandatory; preferably an associate or bachelor’s degree in business administration, management, or related fields.
- Demonstrable experience as a virtual assistant or in comparable administrative roles.
- Previous experience within an engineering or technical environment is advantageous.
- Excellent organizational skills with the ability to multitask and pay close attention to detail.
- Strong verbal and written communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with project coordination software such as Trello, Asana, or Slack.

Compensation and Work Schedule
