Role Summary
We seek a meticulous and systematic Document Controller to be based in Abu Dhabi, UAE. This role is essential to managing and maintaining comprehensive project documentation accessible to all relevant stakeholders. You'll ensure document accuracy, organization, confidentiality, and compliance, supporting smooth project operations.
Key Responsibilities
- Organize, prepare, duplicate, scan, and archive documents in both physical and electronic formats while maintaining order and precision.
- Examine and revise technical materials, contracts, and project records to rectify errors and ensure conformity with company standards.
- Coordinate document circulation within the organization and to external parties as required.
- Uphold detailed filing systems for all records to ensure effortless retrieval.
- Develop and adapt document templates and standardized formats for consistent usage across projects.
- Provide required documents promptly upon request to internal teams and clients.
- Update technical manuals, workflows, and procedural guides to mirror contemporary practices.
- Ensure strict confidentiality of sensitive and proprietary data.
- Compile ad-hoc reports detailing documentation status and adherence as requested by leadership.
- Utilize Electronic Document Management Systems (EDMS) and document control software to enhance workflow efficiency.
Qualifications & Experience
- Bachelor’s degree in Project Management, Business Administration, or related disciplines.
- Minimum of five years’ experience as a Document Controller or in a similar documentation-focused position.
- Proficient English communication skills including excellent writing, grammar, and punctuation.
- Advanced familiarity with MS Office applications, particularly MS Excel.
- Experience with EDMS and appropriate document control tools.
- Exceptional organizational capabilities, managing multiple document streams with effective prioritization.
- High attention to detail with the ability to identify and correct errors promptly.
- Solid understanding of best practices in document control within project-driven environments.
- Background in engineering, construction, environmental, or related industrial sectors is advantageous.
- Strong interpersonal and communication skills to collaborate effectively across departments.
- Customer-focused approach when working with internal and external stakeholders.
- Excellent time management, multitasking, and ability to perform under pressure.
- Analytical problem-solving skills to address documentation challenges and devise solutions.
