Role Overview
The Project Coordinator assists the Interior Designer-in-Charge in managing renovation projects, focusing on site coordination and meticulous documentation control. This position demands excellent site management capabilities, strict adherence to structured paperwork, thorough understanding of Singapore’s renovation regulations, and rigorous payment-based progression monitoring.
Applicants with personal transportation, either a motorcycle or car, are preferred due to frequent site visits required.
Core Responsibilities
- Supervise renovation activities ensuring progress aligns strictly with payment milestones and agreed payment percentages.
- Ensure work execution complies with company policies, such as limiting work completion to 20% prior to the first payment and 50% before the third payment; halt any work immediately if final payment is outstanding unless pre-approved.
- Closely monitor payment statuses and liaise with management before authorizing further work phases to prevent over-execution beyond payments received.
- Manage subcontractor scheduling and deployment in strict accordance with payment clearances.
- Perform regular site inspections to verify workmanship quality, progress accuracy, and sequencing adherence.
- Oversee subcontractors to guarantee work aligns with approved design drawings and schedules.
- Generate, distribute, and monitor work orders to subcontractors effectively.
- Identify site-related challenges, design conflicts, or enhancement opportunities and proactively communicate or suggest solutions.
- Collaborate closely with the Interior Designer-in-Charge on-site changes, coordination, and improvements.
Documentation & Reporting
- Create and provide clear progress reports and site updates to management.
- Maintain organized, precise documentation inclusive of quotations, work and variation orders, invoices, HDB/MCST forms, and permits.
- Ensure all paperwork is properly filed both electronically and physically, strictly adhering to company procedures.
- Regularly update drawings and approvals to maintain data accuracy and prevent inconsistencies.
Technical Support
- Competently interpret AutoCAD drawings and assist the Interior Designer with minor drawing modifications.
- Update drawings as per site conditions or approved amendments, ensuring proper saving, naming, and filing according to company standards.
Compliance & Professional Conduct
- Maintain comprehensive knowledge of Singapore renovation regulations and vocabularies.
- Ensure adherence to approved designs, safety standards, and all regulatory requirements.
- Exhibit professionalism, integrity, and precision in all submissions and site coordination efforts.
Client Interaction & Issue Resolution
- Support the Interior Designer in professionally managing client inquiries, concerns, and complaints.
- Enforce company policies related to payments, project scope, and work progress as necessary.
- Assist in calmly and effectively resolving site-related challenges.
Work Ethic & Initiative
- Display reliability, accountability, and responsibility in project execution.
- Actively identify and report potential risks, delays, payment concerns, or site issues early.
- Function independently with minimal supervision, while collaborating well within the team.
- Adhere strictly to SOPs, workflows, and managerial instructions.
Requirements
- Diploma or professional certification in Interior Design, Renovation, or Construction disciplines, or equivalent experience.
- In-depth knowledge of Singapore renovation procedures, terminologies, and site practices.
- Proven experience in coordinating subcontractors and renovation projects.
- Proficiency in AutoCAD or comparable design software.
- Exceptional organizational aptitude and meticulous documentation skills.
- Capability to oversee multiple concurrent projects without sacrificing site control or paperwork accuracy.
- Calm and methodical problem-solving approach when managing site or client issues.
- Disciplined and proactive attitude towards enforcing payment-based work controls.
- Possession of personal transport (motorcycle or car) favored.
- Bonus: experience or interest in sales or interior design sectors.
Additional Details
Salary: SGD 2500 to 3500 monthly, dependent on experience.

Working Hours: Monday to Friday, 10:00 AM to 7:00 PM
