Role Overview
PDF is experiencing rapid expansion and transitioning into a tech-forward construction firm, seeking detail-oriented project professionals. The Assistant Project Manager role is integral to operations, directly involved with an active portfolio to ensure complex commercial flooring projects proceed accurately and on schedule. This position carries significant responsibility and offers direct interaction with senior leadership, presenting a clear advancement path towards full Project Management roles.
Key Responsibilities
- Lead preparation, coordination, and monitoring of comprehensive submittal packages, ensuring completion and approval through customer review cycles.
- Maintain up-to-date tracking of all submittals to prevent lapses and control document management using PDF’s proprietary systems, ensuring all project files are current and audit-ready.
- Track project schedules and milestones vigilantly, identifying and communicating deviations early to mitigate risks.
- Coordinate material logistics including lead time tracking and delivery scheduling while escalating potential supply chain issues.
- Act as a central communication point interfacing between Project Managers, General Contractors, clients, field crews, and internal departments such as Estimating, Purchasing, and Billing.
- Support budget monitoring efforts by assisting in cost tracking against budgets to detect discrepancies and facilitate timely adjustments.
- Document site conditions and changes observed during visits, supporting change order documentation and tracking.
- Participate in site visits to observe installation progress, verify site conditions, and record issues accurately for follow-up.
- Assist in crew communication to improve scheduling and workforce management across simultaneous projects.
- Help maintain existing client and supplier relationships, and support business development initiatives within the Project Manager’s portfolio.
- Manage project closeout activities including punch list oversight, final documentation compilation, warranty file organization, and financial closure.

Minimum Qualifications
- Bachelor's degree in Construction Management or related field OR at least three years of experience in commercial construction administration or project coordination.
- Basic proficiency in reading construction plans, blueprints, and specifications.
- Demonstrated capacity to juggle multiple high-priority tasks in a deadline-driven setting.
- Familiarity with software platforms such as Salesforce and Google Workspace; comfortable learning construction management and project tracking tools.
- Availability for full-time, on-site work to support team collaboration and company culture.
- Ability to occasionally lift weights up to 50 pounds.
