Job Overview
The Caretaker plays a vital role in managing the daily operations of a designated property on behalf of Wingubox Ltd in Nairobi. This position involves acting as the company’s representative on-site, facilitating smooth interactions among tenants, landlords, and service providers. The role demands integrity and vigilance, ensuring accurate management of tenant accounts, protection of property assets, and prompt reporting of any site issues.
Key Responsibilities
- Administer all tenant payments strictly through authorized company channels, with strict prohibition on handling cash outside these systems to maintain compliance.
- Maintain precise and current tenant payment documentation and reconcile records regularly with the head office as scheduled.
- Oversee tenant onboarding by ensuring all lease agreements are duly signed and that all necessary identification and documentation are collected before occupancy.
- Complete a detailed fixtures and condition checklist with each new tenant prior to moving in to document property status.
- Keep tenant profiles updated, tracking rent, service charges, utility payments, and compliance documentation consistently.
- Remain accessible to tenants throughout their stay to resolve concerns and mediate disputes professionally and efficiently.
- Manage and supervise ongoing cleaning and maintenance activities on-site, including performing cleaning tasks when necessary.
- Monitor utility meters and payments diligently, reporting any anomalies or non-compliance to utility providers and ensuring accounts are current.
- Be prepared for possible reassignment to another property during employment as required by management.
Qualifications and Skills
- Possess at least 8 years of relevant experience, preferably in real estate or construction sectors.
- College diploma qualification is required.
- Exhibit high ethical standards especially in handling payment records and safeguarding property assets.
- Strong attention to detail and disciplined in record keeping, both written and digital.
- Effective interpersonal skills with the ability to manage tenant relationships and conflict resolution.
- Reliable, self-motivated, and capable of working independently with minimal supervision.
- Physically fit to conduct or oversee light maintenance and upkeep activities on property grounds.
- Remain calm and composed when dealing with on-site incidents or emergencies.
- Capable of using basic literacy and numeracy to maintain accurate records.
- Must possess a valid Certificate of Good Conduct.
