Opportunity Overview
Sterling Engineering Ltd Ireland & Europe is looking to hire a skilled and highly organized Executive Assistant to deliver extensive administrative and business support to a senior executive and leadership team in a fast-paced, dynamic environment. This role demands outstanding organizational competency, solid business insight, and the ability to juggle numerous priorities while upholding utmost professionalism and confidentiality. The position involves backing daily operations, coordinating key business activities, and ensuring smooth execution of executive-level tasks.
Note: This is a part-time, 12-month contract role with 20 working hours per week.
Primary Duties
- Serve as the main liaison point for stakeholders interfacing with senior executive leadership.
- Handle complex calendar management, scheduling meetings, and appointments efficiently.
- Organize meeting agendas, prepare supporting documents, take minutes, track follow-ups, and ensure timely completion of deliverables.
- Create and format reports, presentations, correspondences, and other business communications.
- Gather, analyze, and circulate important business metrics and data.
- Collaborate on business projects involving cross-functional teams, aiding continuous improvement efforts.
- Assist with employee engagement initiatives, internal communications, recognition programs, and event coordination.
- Plan and coordinate corporate meetings, off-site events, training workshops, conferences, and team-building activities.
- Manage the logistics for visitor visits including travel, accommodation, meeting arrangements, and catering needs.
- Arrange and optimize domestic and international travel for senior leadership, including accommodation and transportation, focusing on cost-effectiveness and schedule adherence.
- Provide wider administrative support across the site or business function as needed.
- Oversee procurement-related administrative tasks including purchase order processing and invoice handling.
- Manage office supplies inventory and ordering processes.
- Engage in cross-department site initiatives and support operational enhancements.
Qualifications & Experience
- Possess a third-level qualification in Business Administration or related field at NFQ Level 6 or higher.
- Have at least 5 years of relevant experience in roles such as Executive Assistant, Senior Administrator, or Personal Assistant.
- Demonstrate advanced capabilities in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
- Exhibit excellent organizational skills and capability to handle multiple priorities simultaneously.
- Strong verbal and written communication abilities are essential.
- Proven aptitude for working autonomously while respecting confidentiality requirements.
- Experience with SAP systems especially for purchase order management is preferred.
- Familiarity with HR and time-attendance systems is an advantage.
- Background in supporting senior leadership within corporate contexts is desirable.
