About The Role
We are seeking a dedicated Executive Assistant to deliver exceptional support to the Chief Executive Officer (CEO) and the Senior Leadership Team (SLT), facilitating efficient execution of strategic, operational, and administrative responsibilities. This position acts as a reliable gatekeeper and coordinator, allowing senior leadership to concentrate on strategic priorities and engagement with members.
This part-time role involves working 21 to 25 hours per week. Flexibility in scheduling is welcomed, with the condition that business needs are efficiently met. The position requires commitment to at least three days per week, with specific working days arranged upon hiring.
Key Responsibilities
- Offer proactive, high-level assistance to the CEO and SLT by anticipating needs and managing competing demands.
- Prepare strategic briefings, background documents, and materials for SLT discussions, Board meetings, and external engagements, managing information prioritization and escalation as necessary.
- Organize SLT meetings including agenda development, document coordination, minute-taking, and tracking of action items.
- Support governance activities by facilitating Board, Council, and committee processes with care and confidentiality.
- Collaborate with senior colleagues to coordinate meeting agendas, deliver quality outputs, and produce accurate minutes and action logs, utilizing AI tools where suitable.
- Serve as a liaison for Board members, committee chairs, and senior volunteers in their interactions with the SLT, while recognizing designated colleagues hold primary contact roles.
- Maintain updated knowledge of relevant governance requirements.
- Handle complex diary management for the CEO and SLT members, balancing strategic demands and engagements.
- Coordinate senior-level meetings, leadership retreats, Board sessions, conferences, and events.
- Manage global travel arrangements and logistics for attendance at member events and external meetings.
- Draft, review, and manage executive correspondence, briefings, and presentations.
- Facilitate consistent and professional communication between SLT, internal teams, members, and external partners.
- Build strong working relationships as a key interface between the Executive Office and the organization.
- Support organizational initiatives and projects, often involving sensitive or complex issues.
- Identify and implement improvements in Executive Office processes and governance administration through new technologies and practices.
- Provide informal guidance and support to colleagues when appropriate.
Candidate Profile
- Significant experience as an Executive Assistant or a comparable position supporting senior leaders.
- Capable of managing senior stakeholders with diplomacy, credibility, and constructive feedback.
- Exceptional organizational and time-management skills with the ability to prioritize effectively amid competing demands.
- Strong verbal and written communication skills, skilled in preparing high-quality documents.
- Demonstrates discretion, integrity, and a high degree of professionalism.
- Proficient in Microsoft Office applications.
- Experienced in coordinating meetings, events, and complex travel logistics.
- Inquisitive by nature, with an interest in organizational operations and effective support of priorities.
- Proactive, solution-oriented, and maintains a positive, can-do approach.
- Calm and adaptable in high-pressure or changing situations.
- Team-oriented with excellent interpersonal abilities.
- Dedicated to the values and mission of the organization.
Additional Information
