Your Impact and Responsibilities
As an Executive Assistant, you will work closely with Senior Partners to manage their time effectively and foster trust-based relationships within their network and beyond. Key duties include:
- Building strong ongoing relationships with Partners, their clients, internal teams, and a global network of Executive Assistants.
- Serving as a knowledgeable representative for Partners with clients and stakeholders, safeguarding confidential information.
- Organizing and strategically managing complex calendars, scheduling internal and client meetings, conference calls, events, and meals.
- Coordinating complex international and local travel arrangements while catering to individual preferences.
- Handling incoming communications, responding on behalf of Partners when appropriate, and managing major projects with minimal supervision, often involving senior leadership schedules.
- Collaborating with Executive Assistant Managers and department members to ensure workflow efficiency and deadline compliance.
- Maintaining client and internal files within approved systems, providing backup coverage, and organizing events for both internal and external purposes.
- Preparing and submitting timesheets and expenses punctually, monitoring client accounting statements and invoices upon request, and performing miscellaneous administrative tasks as assigned.
Qualifications and Skills
- Undergraduate degree preferred.
- Minimum of three years’ experience supporting senior-level executives or equivalent roles.
- Exceptional administrative and organizational abilities with strong attention to detail, capable of managing multiple priorities independently and owning outcomes.
- Proficient typing and proofreading skills for producing professional documents efficiently and accurately.
- High computer literacy, especially with email and calendar management.
- Excellent judgment and discretion with strict confidentiality.
- Strong technical competence including advanced skills in PowerPoint, Word, and Excel.
- A proactive approach, extending beyond responsive support to autonomous handling of administrative responsibilities.
- Ability to thrive in a fast-paced, deadline-oriented, high-pressure setting.
- Outstanding interpersonal skills, positive attitude, and the capacity to build relationships internally and externally.
- Professional demeanor across all communication channels including in-person, telephone, and email.
- Skillful prioritization and management of diverse workstreams.
