Role overview
Disney Experiences is seeking an Executive Assistant to support leaders in Project Management and Creative across several U.S. business units. The role sits within an internal creative marketing environment that works closely with many parts of The Walt Disney Company, with an emphasis on collaboration, inventive thinking, and producing work that has a meaningful impact. This position involves close day-to-day partnership with senior leaders and their teams, and it requires discretion, strong organization, and the ability to stay composed when priorities shift.
Key duties
- Provide direct administrative support to senior executives and interact smoothly with their teams and other executive offices.
- Coordinate multiple calendars across different time zones to keep meetings and commitments organized.
- Arrange meeting rooms, conference calls, and video meetings.
- Track daily priorities and make smart scheduling decisions when competing requests arise.
- Adjust plans quickly when urgent issues interrupt the day, then restore order once the situation is resolved.
- Handle highly confidential and sensitive information with complete discretion.
- Prepare recurring reports and summaries, including time reporting and financial tracking, and take full ownership of assigned work.
- Support the creation of presentations and other materials intended for clients or internal stakeholders.
- Help monitor and process billing for freelance resources.
- Contribute to project and Cast-related requests by researching, writing, and verifying information.
- Build detailed travel plans covering multiple cities and time zones.
- Assist with onboarding new hires and serve as a welcoming point of contact for questions.
- Coach and support other administrative professionals on technical tools and teamwork-related skills.
- Act as the department’s point person for office supply purchases, purchase orders, and vendor agreements.
- Respond to outside inquiries related to products and services, including vendor sales outreach.
- Step in to support other departments when business needs require it.
Requirements
- 3 to 5 years of experience supporting an executive, or a comparable level of relevant experience.
- Excellent written and verbal communication abilities, with strong grammar and vocabulary.
- Proven skill in managing multiple tasks, deadlines, and priorities at once.
- Advanced comfort using computers, phones, office equipment, Microsoft Office, SAP, Confluence, Concur, and Windows-based systems.
- Composed and adaptable approach when unexpected issues arise.
- Strong interpersonal intelligence and the ability to build productive working relationships.
- Dependable handling of confidential and sensitive information.
- Confidence to learn new software and systems as needed.
- Flexibility in working hours when urgent needs come up.
- Strong planning, organization, and attention-to-detail skills.
- Professional presence, upbeat attitude, and a proactive mindset.
Preferred background
- Prior experience with The Walt Disney Company.
- Experience in a large public company environment.
Education
- A bachelor’s degree is optional; equivalent experience is also acceptable.
Compensation and benefits
The estimated pay range for this role in Celebration, Florida is $51,500 to $68,900 per year. Actual pay may differ based on internal equity, location, job-related knowledge, skills, and experience. The package may also include a bonus and/or long-term incentive units, along with medical, financial, and other benefits depending on the level and position. Disney also provides a benefits package that may include health and savings benefits, educational support, and additional perks.
