Position Overview
The Facilities Data Analyst contributes to decision-making by gathering, examining, and interpreting data related to operations, maintenance, and facilities management. This role partners closely with facilities managers, HVAC technicians, maintenance teams, and business stakeholders to detect patterns, boost operational outcomes, and promote decisions based on data insights.
This position suits candidates blending analytical expertise with knowledge of building systems, facilities operations, HVAC equipment, maintenance procedures, or similar technical backgrounds. It is ideal for professionals moving from facilities, maintenance, HVAC, or technical support into data analytics. The analyst transforms raw data into meaningful insights to optimize operations, cut costs, and enhance overall facility performance.
Responsibilities
- Collect, cleanse, verify, and organize information from CMMS, work order systems, BAS/BMS platforms, HVAC monitoring systems, and other operational databases.
- Evaluate maintenance, asset, energy, and operational datasets to discover trends and improvement possibilities.
- Create and sustain dashboards, reports, and KPI indicators utilizing Power BI, Excel, or equivalent tools.
- Assist facilities and operations teams by delivering actionable data insights.
- Ensure data integrity and resolve discrepancies in reporting.
- Support forecasting for maintenance schedules, equipment replacements, and resource allocation.
- Prepare regular and specialized management and operational reports.
- Document data sources, reporting procedures, and analytical techniques.
- Collaborate with technical groups to enhance data collection and reporting accuracy.
Qualifications
- Bachelor’s degree preferred in Data Analytics, Business Analytics, Information Systems, Statistics, Mathematics, Engineering, Facilities Management, or related disciplines.
- Equivalent education combined with relevant experience in facilities, maintenance, HVAC, building operations, or technical services.
- Zero to three years experience in data analysis, reporting, operations support, facilities management, HVAC, or maintenance-related areas.
- Strong skills in Microsoft Excel including PivotTables, formulas, and data analysis capabilities.
- Basic knowledge or willingness to learn SQL for database querying.
- Excellent analytical and problem-solving abilities.
- High attention to detail and organizational skills.
- Effective oral and written communication skills.
