ఉద్యోగ వివరణ
Overview
The position is focused exclusively on administrative and clerical tasks within the reception and administrative area, without any clinical duties. The role primarily involves welcoming visitors and managing phone communications.
Key Responsibilities
- Offer general clerical and administrative support to the office.
- Warmly greet and assist patients, clients, and visitors as they arrive.
- Handle incoming calls by answering, forwarding, or taking messages.
- Check visitors in and guide or escort them to their designated locations.
- Notify employees about visitor arrivals or cancellations.
- Keep an accurate visitor sign-in record.
- Manage both incoming and outgoing mail.
- Schedule appointments and coordinate the use of meeting rooms.
- Ensure the reception area is neat and welcoming.
- Carry out additional tasks as assigned.
- Maintain strict confidentiality of residents' protected health information and promptly report any suspected breaches to the Administrator.
Supervisory Responsibilities
This role does not include supervising other staff members.
Qualifications
- A minimum of a high school diploma or GED is required.
- Prior experience in administrative or receptionist positions is preferred.
- Proficiency in Microsoft Office Suite and familiarity with multiline telephone systems is necessary.
- Strong reading skills to understand various business and technical documents.
- Ability to write clear reports and business communication materials.
- Capability to engage effectively with management and colleagues through presentations and responses.
- Mathematical skills involving basic calculations such as fractions, percentages, and ratios are expected.
- Problem-solving skills in practical contexts with some variability and limited standardization.
- Understanding and interpreting instructions in multiple formats including written, oral, and diagrams.
Physical Requirements
- Occasionally lift or move items weighing up to 25 pounds.
- Extended use of desktop or laptop computers is required.
- Regular physical activities include sitting, standing, walking, talking, reading, and hearing.
- Frequent use of office devices such as copiers, scanners, fax machines, telephones, and calculators.
- This position does not require travel.
