About the Role
The Children and Young People's Division at University College London Hospitals NHS Foundation Trust is seeking a Band 4 Administration Coordinator. This permanent part-time position entails working 30 hours per week, primarily on-site at 250 Euston Road, London. The successful candidate will support the division by delivering comprehensive administrative services within a busy, multidisciplinary team environment.
Key Responsibilities
- Managing patient information by uploading data into the Epic system
- Conducting call reminders for appointments
- Arranging interpreters to support patient communication
- Handling postal correspondence effectively
- Scheduling, canceling, and rescheduling patient appointments
- Validating waiting lists and actively participating in Referral to Treatment (RTT) meetings
- Preparing for and attending multidisciplinary team (MDT) meetings
- Coordinating patient admissions
- Monitoring and managing shared team inboxes
- Organizing internal and external professional meetings within the division
Candidate Profile
The ideal candidate must demonstrate exceptional customer service and communication abilities, with a strong emphasis on empathy, diplomacy, and integrity. Sensitivity to patient needs and a commitment to enhancing patient experience are essential. This role involves working closely with the TRACCS, Post COVID, and Psychological Medicine teams and contributing flexibly across the Children and Young People’s Administration Team.
