Role overview
ReLytics Hire is looking for a meticulous Administrative Data Entry File Clerk who can keep business records well organized, update information accurately, and work independently from a remote setting. This position is suited to someone who is dependable, detail-focused, and comfortable supporting daily operations through accurate file handling and data management.
Core responsibilities
- Receive records from shared mailboxes, online portals, internal ticketing systems, and cloud-based folders.
- Check each document for the correct type, required fields, signatures, and supporting attachments.
- Assign consistent metadata to every record, including client or project ID, date, document type, version, and region.
- Use standardized file names and folder structures to keep digital records easy to find and manage.
- Carry out format adjustments when needed, such as merging or splitting PDFs, turning images into PDFs, compressing files, and labeling versions.
- Maintain controlled document libraries, including final, draft, and archived files, along with appropriate retention tags.
- Run regular quality checks to identify duplicates, misplaced files, missing pages, and unreadable scans.
- Escalate exceptions to the appropriate owner and include clear notes about the issue.
- Track errors and help improve processes that reduce rework.
- Handle sensitive records with strict confidentiality and access control practices.
- Follow retention timelines, legal hold instructions, and rules for deletion or archiving.
- Support audits by locating records quickly and documenting chain-of-custody steps when required.
- Coordinate with HR, Finance, Operations, Legal, or Customer teams to confirm file requirements.
- Share updates on backlog, processing time, and any issues discovered during handling.
Tools and performance focus
Typical tools may include cloud storage platforms such as Google Drive, SharePoint, or Dropbox; document tools like Adobe Acrobat or similar software; spreadsheets; ticketing systems such as Jira, Asana, or ServiceNow; e-signature tools; and basic office software. Performance may be measured by filing accuracy, turnaround time from receipt to completion, backlog volume, daily output, audit retrieval speed, and compliance with access control and retention rules.
Qualifications
- Prior experience in records management, clerical work, administrative support, or document control is preferred.
- Strong attention to detail and the ability to apply filing and naming rules consistently.
- Comfort working with confidential information and following structured procedures.
- Basic computer skills, including file systems, spreadsheets, PDFs, and collaboration tools.
