About the Role

We are looking for an experienced Payroll Manager with over seven years of multi-state payroll expertise to manage comprehensive payroll operations for corporate employees and salaried clinicians. Reporting to the VP of People and collaborating closely with Finance, you will oversee payroll execution using advanced HR technologies like Rippling and Betterment to ensure precise payroll distributions, variable pay, and 401(k) administration. Additionally, you will lead compliance efforts including annual audits, salary benchmarking, multi-state tax registrations, and government agency communications to support business growth nationwide.

Job Responsibilities

• Manage end-to-end payroll processing guaranteeing timely and accurate salary payments, including variable and incentive compensation.
• Process additional pay components, W-2s, 1099s, and ensure payroll tax filings comply with legal standards.
• Administer the variable compensation lifecycle, prepare compensation letters, and conduct annual salary benchmarking to maintain competitive pay structures.
• Monitor payroll-related communications, address state notices promptly, manage federal, state, and local tax filings, and uphold all relevant state licensures.
• Coordinate corporate registrations and configure payroll rules for new state expansions within the HRIS platform.
• Lead internal payroll audits, the annual Rippling payroll audit, and oversee the Betterment 401(k) program alongside compliance testing.
• Administer Workers’ Compensation policies, including onboarding new states and locations, and coordinate responses to unemployment claims and Department of Labor inquiries.
• Manage timecard systems, provide training on timekeeping best practices, and serve as the primary contact for employee payroll and tax questions.

Job Requirements

• More than seven years of progressive experience managing multi-state payroll operations.
• Proven experience in state tax registrations and administering compliance for multiple tax jurisdictions.
• Advanced proficiency in Rippling or equivalent modern HRIS/payroll systems.
• Hands-on experience managing digital 401(k) platforms, particularly Betterment or similar record keepers.
• Strong skills with Excel or Google Sheets for complex data analysis involving variable pay calculations and salary benchmarking.
• Expertise in payroll compliance including 401(k) discrimination testing, 5500 filings, and supporting external audits.
• In-depth knowledge of Workers’ Compensation laws, payroll tax filings, ACA reporting (1095-C), and W-2 compliance across states.
• Excellent communication skills to collaborate cross-functionally with HR, Legal, and Finance, and to address employee payroll inquiries empathetically and clearly.
• Ability to analyze market compensation data and conduct proactive payroll audits to ensure accuracy.
• Preferred: Experience with healthcare or billable-hour payroll models involving shift differentials and clinician compensation details.

What We Offer

• Annual salary ranging between $99,000 and $110,000.
