Role Overview
This position supports the smooth operation of sales functions and customer service within the healthcare industry. The Senior Sales Coordinator manages sales activity coordination, order fulfillment, and cross-departmental collaboration among Sales, Supply Chain, Warehouse, Finance, and other units. The incumbent will help optimize sales processes, maintain precise operational data, and ensure prompt resolutions to maintain high customer satisfaction and business growth.
Key Responsibilities
- Assist the Sales Team by managing sales processes, handling customer inquiries, preparing quotations and tenders, and processing orders according to company guidelines.
- Generate and manage sales orders, update records in the ERP system, track stock availability, and liaise with Supply Chain for timely stock replacements.
- Oversee coordination of delivery schedules with warehouse and delivery teams to guarantee efficient dispatch and collection of proof of deliveries (PODs).
- Administer customer order fulfillment workflows including handling NIPCO delivery timetables, managing ASN portal tasks, and collaborating with involved parties.
- Keep a close watch on inventory levels, especially fast-moving goods, minimum stock thresholds, and product expiry dates to comply with regulatory and customer standards.
- Lead and supervise the Sales Coordinator team, ensuring ERP data accuracy, POD monitoring, reporting, and smooth process management.
- Work with various departments to resolve issues related to pending documentation, invoicing, delivery notes, and other operational tasks, and support ad hoc sales-related needs.
Qualifications & Experience
- At least 5 years of experience in sales coordination roles.
- Demonstrated expertise in managing sales orders, quotations, tenders, delivery arrangements, and ERP system utilization.
- Comprehensive knowledge of order fulfillment and inventory coordination practices.
- Experience in supervising or directing team members and ensuring timely and accurate completion of operational duties.
Educational Requirements
A bachelor's degree in Accounting, Finance, or Business Administration is required.
Skills & Competencies
- Technical proficiency in stock management, sales procedures, tender handling, order fulfillment, and ERP systems (preferably Odoo).
- Strong command of Microsoft Office tools including Excel, PowerPoint, and Word.
- Effective teamwork and collaboration skills.
- Excellent communication abilities in both English and Arabic (written and spoken).
- High level of responsibility, confidentiality, accuracy, and meticulous attention to detail.
- Efficient time management and organization skills.
