Role Overview
We are seeking a Special Events Associate based in New York, NY, who will assist with the orchestration of bespoke editorial and major events for Vogue Magazine. This role demands a highly organized, detail-focused, and proactive individual eager to develop their expertise in the events sector. The ability to juggle multiple projects in a fast-paced setting and collaborate effectively within a team is crucial.
Key Responsibilities
- Collaborate with the Director of Special Events on planning and delivering exclusive editorial and commercial events, including private dinners, cocktail receptions, panels, screenings, and subscriber-exclusive experiences.
- Manage event logistics such as scouting venues, coordinating with vendors, communicating with guests, organizing transportation, handling gifting, staffing, and assisting with on-site execution.
- Maintain comprehensive project timelines, run-of-show schedules, guest lists, and seating arrangements.
- Liaise with external partners to ensure all event components are completed accurately and punctually.
- Oversee invitation distribution, RSVP tracking, credential processing, and enhancing guest experience initiatives.
- Source and secure event supplies, rentals, décor, and production essentials.
- Prepare presentations, briefing documents, and event-related materials for both internal teams and external stakeholders.
- Organize meeting and calendar schedules for the Special Events team, including planning sessions, vendor discussions, site visits, and stakeholder communications, ensuring all milestones and deadlines are tracked and met.
- Provide hands-on support during events, including setup, guest management, talent coordination, and teardown.
- Assist with budget monitoring, invoice management, and compiling post-event reports.
- Contribute to supplementary marketing, editorial, and client entertainment projects as required.
Qualifications and Skills
- Bachelor’s degree with 1 to 2 years of experience in events, hospitality, experiential marketing, public relations, or equivalent fields.
- Exceptional organizational capabilities and meticulous attention to detail.
- Proven ability to prioritize and multitask effectively in a dynamic, fast-moving environment.
- Superior written and verbal communication and interpersonal skills.
- A positive, proactive attitude with an eagerness to take initiative.
- Experience in vendor and external partner coordination.
- Flexibility to work evenings and weekends aligned with event scheduling needs.
- Proficiency in Google Workspace, Microsoft Excel, PowerPoint, and familiarity with event management software such as LaunchMetrics and zkipster.
- Genuine interest in fashion, media, luxury industries, and cultural trends.
Compensation and Equal Opportunity
The anticipated annual salary range for this position is $66,400 to $75,000. Compensation will be determined based on various factors including skills, experience, and education.
