Role overview
Mahathi Infra Services is hiring an experienced Stores Manager / Stores Incharge for a project-site assignment. The role is based at Dahej, Gujarat, with project locations also mentioned for Barmer, Rajasthan and Liberia, West Africa. The position is suited to professionals with strong exposure to large-scale Oil & Gas, EPC, engineering, construction, refinery, petrochemical, infrastructure, or heavy engineering environments.
The selected person will run the complete stores and inventory function at site, making sure materials are received, stored, tracked, issued, and reconciled correctly. A major part of the job involves SAP MM transactions, stock accuracy, material control, and coordination with procurement, engineering, planning, QA/QC, and project teams so that project execution is never delayed for want of materials.
Core responsibilities
- Oversee daily project-site stores operations, including receipt, storage, preservation, and issue of materials.
- Maintain proper identification, handling, and preservation of project materials, consumables, tools, and equipment.
- Keep inventory at the right levels, avoiding both shortages and unnecessary surplus.
- Track material movement and ensure materials are available on time for construction and execution activities.
- Store high-value, critical, and long-lead items with appropriate controls and safeguards.
SAP MM and stock transactions
- Handle SAP MM postings for Goods Receipt Note (GRN), Goods Issue (GI), material transfer, stock transfer, reservation, and inventory adjustments.
- Keep material master records and inventory entries accurate and up to date in SAP MM.
- Work with procurement and project teams to update receipts and stock positions without delay.
- Prepare stock statements, inventory reports, and material consumption reports using SAP.
Material receipt and inspection
- Receive materials from vendors and check quantities, specifications, and related documents.
- Coordinate with QA/QC and user departments for inspection and acceptance of incoming materials.
- Escalate shortages, damage, or mismatches to procurement and project teams for action.
- Maintain complete records for inward and outward material movement.
Inventory and warehouse control
- Carry out periodic physical stock checks and match them with SAP balances.
- Monitor slow-moving, non-moving, surplus, and obsolete items.
- Use controls that reduce losses and improve material utilization.
- Organize warehouse layout to support efficient storage and retrieval.
- Maintain housekeeping, safety, and preservation standards across the stores area.
- Watch storage conditions for sensitive and hazardous materials and follow applicable handling procedures and statutory rules.
Coordination, reporting, and compliance
- Work closely with procurement, planning, engineering, QA/QC, and project execution teams for material planning and availability.
- Support procurement by sharing stock availability and material consumption data.
- Assist in identifying shortages and raising material indents based on project needs.
- Prepare daily, weekly, and monthly MIS reports covering inventory status, receipts, issues, balances, and consumption.
- Create inventory ageing reports, reconciliation statements, and project material status reports.
- Present stock analysis and inventory updates to project management.
- Maintain stores registers, transaction records, and audit files.
- Ensure compliance with company stores procedures, inventory policies, statutory requirements, and audit expectations.
- Support internal and external audits and maintain documentation needed for project close-out.
- Implement safety practices within the stores and warehouse area.
Required background and experience
The ideal candidate should bring substantial experience in stores, warehouse, and inventory management, along with hands-on SAP MM knowledge. Experience in project-based handling of construction, mechanical, electrical, instrumentation, piping, structural steel, and consumable materials is important. The role also calls for strong analytical ability, planning, organization, leadership, and coordination skills, plus comfort with MS Excel, PowerPoint, Word, and SAP reporting tools.
Qualifications
A B.E. / B.Tech in Mechanical Engineering is preferred. An MBA or PG Diploma in Supply Chain Management or Materials Management will be considered an added advantage.
Preferred profile
- Candidates with experience managing stores for large EPC or Oil & Gas construction projects are preferred.
- Strong exposure to project material planning, warehouse management, inventory control, and SAP MM operations is desirable.
- Experience handling multidisciplinary materials across mechanical, piping, structural, electrical, instrumentation, and civil categories is an advantage.
- Leadership ability to supervise stores staff and coordinate with multiple stakeholders is important.
- Immediate joiners or candidates serving shorter notice periods will be preferred.
