Role overview
The Assistant Fleet Supervisor will take charge of organising, overseeing, and following through on preventive and corrective upkeep for the company’s vehicle fleet. The position is focused on keeping vehicles available when needed, meeting safety and legal standards, controlling spend, and managing outside maintenance partners efficiently.
Fleet maintenance
- Create and roll out planned maintenance schedules for fleet vehicles and equipment.
- Watch vehicle condition closely and arrange servicing on time to reduce breakdowns and idle time.
- Handle unplanned repairs and emergency maintenance coordination.
- Make sure all repair work follows manufacturer guidance and internal quality standards.
- Carry out routine inspections and flag vehicles that need attention.
Vendor management
- Liaise with outside garages, workshops, and other service partners.
- Obtain and negotiate repair estimates, then oversee the quality of work delivered.
- Review vendor performance and SLA adherence, and suggest areas for improvement.
- Ensure eligible warranty claims are submitted and tracked properly.
Fleet performance monitoring
- Measure downtime, repair repetition, and maintenance spend across the fleet.
- Study repeated mechanical issues and drive corrective measures.
- Keep an eye on fuel efficiency and uncover maintenance-related losses.
- Compile maintenance summaries and performance dashboards.
Compliance and safety
- Confirm that every vehicle meets roadworthiness, safety, and statutory requirements.
- Keep registrations, inspection certificates, permits, and insurance documents current.
- Support adherence to company HSE rules and procedures.
- Look into vehicle breakdowns and incidents linked to maintenance.
Budget and cost control
- Track maintenance spending against the approved budget.
- Spot opportunities to reduce cost while protecting safety and quality.
- Check repair invoices and confirm completed work before recommending payment.
Documentation and reporting
- Maintain a full service record for every vehicle.
- Prepare weekly and monthly maintenance reports.
- Track fuel usage and mileage for each vehicle.
- Monitor fleet KPIs such as vehicle availability, mileage per km, utilisation, breakdown frequency, preventive maintenance compliance, maintenance cost per kilometre and per vehicle, vehicle downtime, garage productivity, and garage TAT monitoring reports.
Qualifications and experience
- Diploma or bachelor’s degree in Mechanical Engineering, Automotive Engineering, or a relevant discipline.
- Professional fleet or automotive maintenance certifications will be considered a plus.
- 5 to 8 years of experience in fleet maintenance or workshop operations.
- Minimum 2 years in a supervisory role.
- Exposure to commercial vehicles such as trucks, vans, and trailers.
- Experience with transport management systems or fleet management software is preferred.
Skills and technical knowledge
- Solid understanding of diesel and petrol vehicle servicing.
- Knowledge of preventive and predictive maintenance methods.
- Familiarity with fleet management systems and maintenance applications.
- Working knowledge of workshop operations and spare parts control.
- Strong analytical thinking and problem-solving ability.
- Comfort using Microsoft Excel and reporting tools.
