Position Overview
This part-time role involves supporting the Market Access Strategy group with end-to-end operational management related to consultants and consulting firms. The coordinator will handle onboarding, contracting, vendor management, purchase order processing, financial tracking focusing on utilization and funding balances, and ensuring compliant engagements. The job requires availability across at least 3–4 days weekly, ideally 5, with alignment to CST and EST business hours.
Key Duties
- Manage onboarding, contract management, and engagement tracking of approximately 10 consulting firms and 6–7 independent consultants using iHub and related systems.
- Coordinate interviews, maintain Fair Market Value documentation, and organize scheduling for consulting engagements and meetings.
- Maintain centralized records of consultant profiles, contracts, and engagement histories, actively monitoring agreement renewals and utilization.
- Support creation, renewal, and amendment of Statements of Work (SOWs), manage purchase orders and related change notices, monitor spending and accruals, and facilitate invoice reconciliation.
- Collaborate with Procurement and Finance to ensure smooth operational processes and continuity of consulting activities.
- Provide operational and logistical support for strategy team initiatives including summits, advisory boards, and panel discussions.
- Support calendar management, compliance document uploads, and stakeholder communications.
Required Skills and Experience
- Minimum 3 years in project coordination, vendor management, consulting operations, procurement, or related financial functions.
- Proven ability to independently manage multiple priorities and coordinate cross-functionally.
- Strong organizational aptitude with meticulous attention to detail and proactive follow-up skills.
- Excellent verbal and written communication abilities.
- Comfortable working with procurement systems, vendor platforms, contract management tools such as iHub, and collaboration software.
- Experience coordinating scheduling and calendar management across stakeholder groups including Procurement, Finance, and Compliance.
- Background in regulated sectors such as Pharmaceutical, Biotech, Medical Devices, or Life Sciences preferred.
Education
Bachelor's degree in Business, Finance, Operations, or similar preferred; however, relevant experience and demonstrated operational management capability will be considered.
