Overview
John Sisk & Son Ltd is a family-owned international construction and engineering group shaping the future of how people live, work, and connect through projects in building, infrastructure, rail, energy, and off-site manufacturing across Ireland, the UK, and Europe. We are seeking an Information Coordinator to manage project document systems and support information management strategies aligned with recognized standards.
Key Responsibilities
- Manage and validate incoming and outgoing project documentation, ensuring proper classification, verification, registration, distribution, and accessibility.
- Maintain centralized site files including uncontrolled drawings, registers, and specialized documentation such as Operation & Maintenance, Health & Safety, Quality, Environmental, and BCAR files.
- Implement and configure change control processes within the Common Data Environment (CDE).
- Prepare distribution matrices, status reports, and workflow management for submissions including sample submissions, Technical Queries (TQs), Request for Information (RFIs), complying with project requirements.
- Participate in project meetings to liaise with teams and stakeholders on documentation and information management issues.
- Identify opportunities for process improvements, waste reduction, and risk mitigation related to document workflows.
- Provide coverage for other Document Controllers as needed, facilitating seamless operations during absences.
- Support Information Systems Manager (ISM) in maintaining compliance with corporate Digital Project Delivery procedures and standards.
- Conduct training sessions for new users on digital tools such as VFP and FV, individually or in groups.
- Serve as primary support and coaching contact for project users including clients, design teams, subcontractors, and supply chain partners.
- Assist in defining project file naming protocols and workflows with ISM guidance.
- Ensure project teams adhere strictly to Digital Project Delivery protocols through continuous support and guidance.
Experience and Qualifications
Essential:
- Experience handling large volumes of project data from multiple sources.
- Proficient communicator capable of educating diverse stakeholders on Digital Project Delivery protocols.
- Familiarity with multidisciplinary design teams, clients, subcontractors, and supply chain partners.
- Demonstrated ability and willingness to train and mentor colleagues.
- Knowledge of industry-standard file naming conventions.
- Strong organizational, prioritization, multitasking, and time management abilities.
- Analytical mindset, diligence, and self-motivation.
- Excellent skills in document preparation, formatting, and troubleshooting.
- Advanced user of Microsoft Office suite.
- Understanding of ISO 19650, BS 1192, and PAS 1192 standards.
Desirable:
- Interest in project delivery processes and construction industry administration.
- Experience in infrastructure projects preferred.
- Knowledge and experience configuring systems compliant with ISO 19650.
- Advanced use of Field View (FV), Dalux, or similar digital field tools.
