About the Role
We are seeking a Contract Specialist to join our Procurement Department, based in our New York office with a hybrid schedule of three days onsite and two days remote. This position is integral to managing contract negotiations, drafting, and administration to support our sourcing initiatives effectively.
Key Responsibilities
- Draft, review, and negotiate commercial contracts, ensuring adherence to company policies and legal requirements.
- Work closely with internal stakeholders and legal teams to resolve contract-related concerns and minimize risks.
- Keep detailed and organized records of contract versions, approvals, and execution progress.
- Support Senior Sourcing Managers during vendor selection, RFP/RFI processes, and bid evaluations.
- Prepare comprehensive reports, presentations, and supporting documents for procurement decision-making.
- Monitor supplier performance to ensure compliance with contractual terms.
- Coordinate client requests and purchasing activities, acting as the intermediary between stakeholders and suppliers.
- Provide administrative and communicative assistance to facilitate procurement operations.
- Create and analyze procurement reports to uncover trends, savings opportunities, and compliance issues.
- Maintain contract lifecycle management tools like dashboards and trackers.
- Collaborate with executives, legal teams, and business units to align procurement practices with company objectives.
- Assist in internal audits and compliance assessments related to contracts and procurement.
Qualifications and Experience
- A minimum of 5 years in contract negotiation and commercial contract law.
- At least 3 years involved in sourcing or supply chain management within a corporate environment.
- Superior written and verbal communication skills, including business and legal language proficiency.
- Strong organizational capabilities with an ability to juggle multiple tasks efficiently.
- Experience with Microsoft Office 365, Adobe Acrobat Pro, and e-signature tools such as DocuSign.
- Professional attitude with excellent customer service skills to engage with senior executives effectively.
- Ability to adapt swiftly to evolving business needs and multitask in a dynamic setting.
Desirable Skills
- Familiarity with ERP or corporate financial management systems like PeopleSoft Financials.
- Knowledge of contract lifecycle management methodologies and software.
- Understanding of Uniform Commercial Code and fundamental contract law concepts.
- Exposure to source-to-pay systems and platforms such as GEP.
Work Location and Schedule
This role follows a hybrid working model, requiring presence three days per week at the New York Headquarters (520 Madison Avenue) with two days remote.
