About Ansept Construction and Role Overview
Ansept Construction is an expanding general contractor providing residential, commercial, multifamily, restoration, and design-build projects throughout Western Canada. We are seeking a Project Coordinator to assist Project Managers by managing all project administrative tasks, maintaining cost and schedule tracking, and coordinating with all project stakeholders on our larger, complex constructions.
Key Responsibilities
- Lead daily coordination for 3-4 simultaneous commercial, residential, or multifamily projects as the senior administrative contact and primary resolver of scope, scheduling, and documentation issues prior to involving Project Managers.
- Manage requests for information (RFIs), submittals, shop drawings, occupancy reports, and warranty claim processes through all project phases, ensuring schedule adherence and traceable documentation.
- Monitor project financial metrics including monthly invoices, cost reporting, and budget updates, aiding Project Managers in implementing cost control strategies.
- Prepare and maintain change orders, subcontractor communications, and contract administration documents to high standards suitable for audits and client scrutiny.
- Assist in tendering, procurement, and buyout processes by analyzing drawings and specifications for risks, constructability, and cost efficiency.
- Engage directly with clients, consultants, municipal inspectors, and provincial authorities to guarantee compliance with regulations, timely inspections, and alignment of scope and schedules.
- Perform site inspections focusing on quality, safety, and deficiency monitoring, collaborating with consultants and inspectors to resolve technical issues and maintain workflow.
- Manage project closeout activities, including finalizing as-built documentation, operational manuals, deficiency resolution, and warranty handover to clients.

Mandatory Qualifications and Skills
- Progressive hands-on experience coordinating construction projects in commercial, residential, or multifamily sectors.
- Proven track record managing RFIs, submittals, change orders, cost tracking, and monthly billings throughout project lifecycles.
- Strong competency in reading and interpreting technical drawings, specifications, and documents to foresee constructability and cost risks.
- Experience managing direct interactions with consultants, inspectors, and regulatory bodies independently on routine matters.
- Excellent written and oral communication abilities, capable of producing client correspondence, regulatory filings, and internal reports with minimal editing.
- Proficiency using Microsoft Office applications including Excel, Word, and Outlook.
- Possession of a valid driving license and access to a reliable vehicle for site visits.
Preferred but Not Required
- Engineer-in-Training (EIT) certification or a Bachelor's degree in Engineering or Construction Management.
- Background with LEED or other green building certification documentation.
- Experience working on public sector or municipal contracts, including tendering and procurement familiarity.
- History of managing a project from site selection or early design stages through occupancy and final handover.
- Knowledge of construction management software such as Procore, Archdesk, or MS Project.
- Gold Seal Certification (GSC) or active pursuit of this accreditation.
- Experience mentoring junior coordinators or administrative support staff.
