Role Overview
The Scheduler, reporting directly to the General Manager or their designate, oversees scheduling activities to ensure consistent staffing coverage throughout the community, serving all residents effectively.
Key Responsibilities
- Collaborate actively as part of the team to maintain professional relationships that enhance organizational culture and goals.
- Implement collective agreement scheduling procedures, arranging shift replacements for both short notice and planned absences.
- Manage and update seniority lists in accordance with collective agreements.
- Enter and update data in scheduling and payroll systems.
- Coordinate with department managers to assess scheduling requirements and adjust staff rotations accordingly.
- Maintain accurate timekeeping records for payroll processing along with staff contact details and availability.
- Provide reception coverage when necessary, greeting and communicating courteously with residents, visitors, staff, and volunteers.
- Handle telephone inquiries professionally, directing calls and taking messages as needed.
- Adhere to community policies and procedures consistently.
- Support administrative tasks across departments as opportunities arise.
- Monitor and report on unfilled shifts, casual staff call-ins, and availability issues.
- Assist and cross-train in clerical functions related to resident billing, comfort funds, invoicing, payroll, employee files, and onboarding paperwork alongside Administrative Coordinators.
- Organize meetings and reserve rooms for various departments.
- Participate in community and educational events actively.
- Contribute to maintaining a safe environment by engaging in accident prevention, understanding emergency procedures, ensuring proper equipment use, reporting maintenance needs, and following infection control practices.
- Perform additional duties as assigned.
Qualifications and Skills
- Completion of Grade 12 or equivalent education coupled with a minimum of two years of relevant experience, or a matching combination of education, training, and experience.
- Experience scheduling within a unionized workplace is advantageous.
- Familiarity with interpreting and applying collective agreement terms preferred.
- Basic accounting and payroll processing experience is a plus.
- Capability in preparing medium to large payrolls is beneficial.
- Proficient planning, organizational, and multitasking skills to manage critical deadlines effectively.
- Ability to work both independently and collaboratively.
- Computer proficiency, especially in Microsoft Excel and Word at intermediate to advanced levels.
- Strong command of English including reading, writing, speaking, and comprehension of verbal and written instructions.
- Successful candidates must clear a vulnerable sector Criminal Record Check as per provincial regulations.
- Good physical health required to perform tasks involving prolonged sitting and computer use.
