Role and Responsibilities

The Executive Assistant will be a crucial member of Guild Capital's global administrative team, chiefly providing support to the Chairman and assisting with the firm's internal operations. The role covers a broad range of administrative and logistical duties including:

  • Managing intricate and dynamic calendars for multiple partners, coordinating meetings with internal staff, investors, and board members, as well as handling travel arrangements.
  • Organizing detailed domestic and international travel plans, covering flights, accommodation, transportation, and scheduling.
  • Preparing meeting materials, managing logistics, and ensuring partners have all required information and resources.
  • Handling communications by prioritizing and filtering emails and calls and drafting appropriate responses on behalf of partners.
  • Providing support for investor relations through assisting LP communications, organizing investor meetings, and preparing fundraising documentation.
  • Planning events such as firm gatherings, partner dinners, portfolio company events, and annual LP meetings.
  • Maintaining thorough and well-ordered digital and physical filing systems for important documents, contracts, and correspondence.
  • Processing expense reports, managing receipts, and ensuring timely expense reimbursements.
  • Supporting various strategic initiatives and ad-hoc projects as required.

Requirements

  • Bachelor’s degree is a mandatory qualification.
  • Minimum of three years’ experience providing executive support to senior leaders or family offices in sectors like finance or real estate, demonstrating ability to thrive in fast-paced environments.
  • Candidates must reside in Miami or be willing to commute there as necessary.
  • Exceptional organizational and interpersonal communication skills are essential.
  • Professionalism and responsiveness in addressing emails, calls, and texts promptly.
  • A proactive mindset with a strong problem-solving attitude.
  • Ability to remain composed and resourceful, solving problems independently under pressure.
  • Flexibility to adapt to changing priorities and willingness to work outside normal business hours, including evenings and weekends.
  • Proficient knowledge of Google Workspace and Microsoft Office applications.
  • Discretion in handling confidential information.
  • Willingness to travel both domestically and internationally when needed.
