About the Opportunity

Macquarie Group is seeking an Executive Assistant to join its dynamic Macquarie Capital team in Singapore. As part of a well-established global financial services group, you’ll play a pivotal role in supporting executives and a fast-moving team, collaborating closely with other Executive Assistants. You will be integral to facilitating seamless business operations and fostering a collaborative office culture.

Key Responsibilities

  • Manage complex and frequently changing executive calendars for multiple leaders.
  • Coordinate internal and external meetings with stakeholders globally, organizing venues, catering, and preparing necessary materials.
  • Handle executive email inboxes and provide proactive support in prioritizing communications.
  • Arrange intricate domestic and international travel, including booking flights, accommodations, transportation, obtaining visas, and organizing client entertainment.
  • Work collaboratively with peers to organize staff events such as end-of-year celebrations and all-hands meetings.
  • Process purchase orders and invoices; oversee submission of accurate monthly expense reports.

Candidate Profile

  • Demonstrated experience in executive assistance, office administration, or related support roles, preferably in a fast-paced business environment.
  • Proven ability to deliver high-quality administrative support across a range of stakeholders.
  • Strong organizational and multitasking skills, with capacity to swiftly adapt to shifting priorities.
  • Exceptional verbal and written communication skills in English, effective at all levels of an organization.
  • Meticulous attention to detail, sound decision-making abilities, and a dedication to delivering professional, reliable service.
