Position Overview
The Human Resources Assistant supports the Health & Safety Manager by proactively managing occupational and non-occupational disability claims. Supporting the Prevention team within Employee Health and Safety, this role involves providing confidential administrative assistance and coordinating various program activities.
Key Responsibilities
- Collect and organize information necessary for processing WorkSafeBC claims.
- Engage with injured employees to promote Early Return to Work and Stay at Work initiatives, escalating matters to management or Disability Case Managers when needed.
- Maintain and update the Health & Safety Information System accurately.
- Compile data, prepare reports, distribute relevant information to stakeholders, and analyze trends.
- Offer guidance and information to internal and external partners including school leaders, staff, union representatives, third-party vendors, and WorkSafeBC concerning health care and short-term disability claims.
- Assist in developing the district's Early Return to Work and Recover at Work programs, policies, and procedures.
- Provide backup support for other employee groups within the Health & Safety Department.
- Handle confidential and sensitive information with the utmost discretion.
- Act as the primary contact for inquiries, reviewing and directing requests to appropriate team members for resolution.
- Schedule and oversee health and safety trainings and programs, such as first aid, hearing conservation, safety equipment maintenance, hazardous waste removal, audits, work-from-home requests, and AED maintenance.
- Organize meetings, prepare materials and minutes, and manage document distribution.
- Perform data entry and maintain document and record management systems to ensure compliance with health and safety regulations.
- Assist with submission of incident documentation, including uploading reports to WorkSafeBC.
- Collaborate with Prevention team and stakeholders to ensure compliance with regulatory requirements.
- Support departmental communications including newsletters, resource materials, SharePoint sites, and websites.
- Process purchase orders and invoices, and monitor expenditures.
- Provide administrative support to the Associate Director of Employee Health & Safety.
Qualifications
- Certificate or diploma in Human Resources, Occupational Health & Safety, Disability Management, Benefits Administration, or related field with at least two years of relevant experience; equivalent combinations of education and experience will be considered.
- Experience working in a large unionized environment is advantageous.
- Knowledge or experience in WorkSafeBC claims management, Disability Management, Return to Work, and Workplace Accommodation is an asset.

- Salary range: $67,794 to $84,742 per year.
