About the Role

This position is suited to someone who performs well in busy, high-volume settings and can handle administrative and operational work independently with strong accuracy and attention to detail. It is a fully remote, full-time role supporting a growing business in the commercial services sector across teams such as Operations, Billing, and Customer Communication. Working hours are 6:00 AM - 2:00 PM PT (9:00 AM - 6:00 PM EST).

Responsibilities

  • Manage and track administrative work across different departments, making sure requests are completed within the required timeframes.
  • Keep CRM and internal databases updated with accurate entries and records.
  • Handle customer and internal messages by email and chat in a prompt, professional manner.
  • Support scheduling, follow-ups, and document coordination to help daily operations stay on track.
  • Maintain customer files, notes, and records in an orderly and easy-to-access format.
  • Create customer-facing reports and documents that are clear, polished, and free of errors.
  • Spot possible problems or delays early and raise them with the right coordinator.
  • Take on other related tasks as needed.

Requirements

  • Strong fluency in English at C1/C2 level, along with Spanish.
  • Between 2 and 5 years of experience in operations, administrative assistance, or customer-facing positions.
  • Ability to work with limited oversight while handling several priorities at once.
  • Comfort with making small judgment calls and adapting to workflows that may be incomplete or still changing.
  • Experience using Asana, Notion, Trello, or comparable project management tools is an advantage.
  • Working knowledge of Google Workspace and Microsoft Office.
  • Strong communication and troubleshooting abilities.
  • A quiet home office setup, reliable internet with at least 10 Mbps download and 2 Mbps upload, plus a backup connection.
  • A Bachelor's or Associate's degree is preferred.
