Role Overview
This position is a fully remote, full-time opportunity for someone who performs well in busy, high-volume settings and can handle administrative and operational work with strong accuracy and ownership. The role supports a growing commercial services company across areas such as Operations, Billing, and Customer Communication. Working hours are 6:00 AM - 2:00 PM PT, which corresponds to 9:00 AM - 6:00 PM EST.
Core Responsibilities
- Carry out and track administrative work across departments, making sure requests are completed within the expected timeframes.
- Enter, maintain, and refresh data accurately in CRM platforms and internal tools.
- Handle customer and internal queries through email and chat in a prompt, courteous, and professional way.
- Manage scheduling, follow-ups, and documentation so daily operations continue without disruption.
- Keep customer files, notes, and records neatly organized and easy to retrieve.
- Create customer-facing reports and documents that are clear, polished, and free of errors.
- Spot possible issues or delays early and escalate them to the right coordinator.
- Take on other related tasks as needed.
Requirements
- Strong fluency in English at C1/C2 level, along with Spanish.
- Between 2 and 5 years of experience in operations, administrative support, or customer-facing roles.
- Ability to work independently with limited supervision while managing several priorities at once.
- Comfort with making small judgment calls and adapting to workflows that may be partly documented or still changing.
- Familiarity with Asana, Notion, Trello, or similar project management tools is an advantage.
- Good working knowledge of Google Workspace and Microsoft Office.
- Strong communication, troubleshooting, and problem-solving abilities.
- A quiet home-office setup, stable internet of at least 10 Mbps download and 2 Mbps upload, plus a backup internet connection.
- Bachelor's degree or Associate's degree preferred.
