Position Summary

The Executive Assistant will act as a strategic partner to senior leaders, including the Chief Commercial Officer, General Counsel, and Chief Financial Officer. Beyond basic calendar oversight, this role involves ensuring effective operation within a dynamic biotech setting by managing competing priorities, coordinating communications, schedules, travel, and essential business activities with exceptional organizational skills and foresight.

Key Responsibilities

  • Deliver high-level, proactive administrative support to senior executives.
  • Manage complex calendars, resolving scheduling conflicts and aligning with strategic priorities.
  • Coordinate internal and external meetings, including agenda setting, preparation of materials, logistics, and follow-up.
  • Ensure meeting protocols are upheld, managing agenda distribution, room bookings, and virtual meeting technologies.
  • Arrange and manage detailed itineraries for domestic and international travel including flights, lodging, and ground transportation.
  • Handle travel modifications promptly and professionally.
  • Process and track executive expense reports complying with company policies and timelines.
  • Support presentation creation and executive documentation including formatting and proofreading.
  • Maintain confidential records and documentation meticulously.

Qualifications

  • Proven ability managing complex scheduling, domestic and international travel, and executive meeting coordination.
  • Familiarity with coordinating meetings across multiple time zones and collaborating with global teams.
  • Strong prioritization skills and ability to remain organized in a fast-moving work environment.
  • Excellent problem-solving skills with sound independent judgment.
