Position Summary
The Executive Assistant will act as a strategic partner to senior leaders, including the Chief Commercial Officer, General Counsel, and Chief Financial Officer. Beyond basic calendar oversight, this role involves ensuring effective operation within a dynamic biotech setting by managing competing priorities, coordinating communications, schedules, travel, and essential business activities with exceptional organizational skills and foresight.
Key Responsibilities
- Deliver high-level, proactive administrative support to senior executives.
- Manage complex calendars, resolving scheduling conflicts and aligning with strategic priorities.
- Coordinate internal and external meetings, including agenda setting, preparation of materials, logistics, and follow-up.
- Ensure meeting protocols are upheld, managing agenda distribution, room bookings, and virtual meeting technologies.
- Arrange and manage detailed itineraries for domestic and international travel including flights, lodging, and ground transportation.
- Handle travel modifications promptly and professionally.
- Process and track executive expense reports complying with company policies and timelines.
- Support presentation creation and executive documentation including formatting and proofreading.
- Maintain confidential records and documentation meticulously.
- Establish and maintain productive relationships throughout the organization and with external partners.
- Contribute to special projects and organizational initiatives as necessary.
- Exhibit a hands-on approach, readily assisting in tasks that support organizational growth.
Qualifications
- Bachelor's degree preferred or equivalent education and experience.
- At least 6 years of executive assistant or relevant administrative experience supporting senior leaders, including C-suite executives favored.
- Experience in a growing biotechnology, pharmaceutical, healthcare, or technology company is desirable.
- Proven ability managing complex scheduling, domestic and international travel, and executive meeting coordination.
- Familiarity with coordinating meetings across multiple time zones and collaborating with global teams.
- Strong prioritization skills and ability to remain organized in a fast-moving work environment.
- Excellent problem-solving skills with sound independent judgment.
- High attention to detail and accuracy.
- Outstanding interpersonal skills enabling trust-building and credibility at all organizational levels.
- High emotional intelligence and professionalism with capability to handle sensitive information discreetly.
- Proficient written and verbal communication skills.
- Positive, ownership-driven mindset willing to adapt to evolving business needs.
- Advanced proficiency with Microsoft Office Suite, especially Outlook, PowerPoint, Word, and Excel.
