Role Overview
The Project Co-ordinator will support the Project Manager in managing administrative tasks across one or multiple projects, particularly focusing on contract administration and coordinating on-site activities.
Key Responsibilities
- Manage contract obligations and ensure compliance with company responsibilities related to projects.
- Verify and process invoicing accurately and promptly, ensuring correct coding and calculations.
- Raise amendments for approved variations and back charges as needed.
- Assist in preparing and submitting timely cost reports alongside the Project Manager.
- Support development of subcontractor scopes of work and monitor subcontractor and supplier compliance with all statutory and contractual payment requirements through documentary evidence.
- Coordinate documentation issuance for quotations and tenders in collaboration with the Project Manager; evaluate tenders to ensure conformance with project necessities.
- Issue all contract documentation and oversee subcontractor employment compliance requirements.
- Maintain supply schedules for materials like concrete and reinforcement steel.
- Help ensure site personnel and subcontractors understand project objectives and delegate tasks effectively based on skills.
- Support coaching and development of the site team to improve competence and provide performance feedback through reviews.
- Handle formal correspondence with clients, authorities, consultants, subcontractors, and suppliers, and actively participate in relevant meetings.
- Foster communication with colleagues to enhance understanding of company operations and activities.
- Uphold quality, safety, and environmental standards by adhering to project plans and company policies, proactively identifying improvements, managing sample submissions, and ensuring compliance with workplace health and safety procedures.
- Report and initiate resolutions for issues, hazards, or incidents related to project works or contractor activities promptly.
- Use and maintain personal protective equipment correctly to ensure safety for self and others.
Candidate Requirements
- Possession of relevant tertiary qualification or equivalent industry experience in building or construction.
- Demonstrated experience in project coordination or comparable roles within construction.
- Strong organizational, multitasking capabilities, and excellent communication skills.
- Proficiency in Microsoft Office and project management software tools.
- Knowledgeable in construction workflows, contract administration, and understanding of regulatory requirements.
- Capability to collaborate effectively within team settings.
- Detail-oriented with strong problem-solving skills.
