Position Overview
The Business Operations Coordinator role focuses on overseeing and managing operational activities to align with customer expectations and company objectives. This position is fully remote, with location specifics to be discussed during the interview process.
Responsibilities
- Prioritize workplace safety by ensuring all personnel adhere to safe working practices.
- Support Service Managers in everyday coordination and oversight of business operations.
- Monitor and direct operations to fulfill client demands and company goals.
- Serve as a liaison between customers and management to facilitate smooth project delivery.
- Oversee project-related tasks ensuring adherence to budget and timelines.
- Maintain compliance with internal standards and procedural guidelines.
- Foster strong customer relations through consistent communication and meetings.
- Lead and document internal project meetings, including minute-taking.
- Schedule and document external project meetings.
- Manage the resolution of multiple high-priority project issues promptly.
- Assess current operational efficiencies and propose strategic improvements.
- Guide internal teams towards achieving performance benchmarks.
- Identify and resolve operational challenges efficiently.
- Adhere to established standard operating procedures.
- Maintain accurate and accessible operational documents and procedures.
- Perform essential administrative functions, including project filing management.
- Verify and appropriately code vendor invoices.
- Prepare and document extra work orders as necessary.
- Communicate changes and follow-ups to subcontractors.
- Prepare subcontracts and purchase orders.
- Assist in monthly job profitability assessments and collaborate to meet targets.
- Track and review work orders for invoicing accuracy.
- Prepare invoices for project manager approval before client submission.
- Advocate process enhancements, new technologies, and coordinate implementation with management.

Minimum Qualifications

- Experience within a diverse, multidisciplinary, employee-owned company environment preferred.
- Strong communication skills to translate vision into action plans.

Compensation
The annual salary range for this role is $60,632 to $75,732.80.
