Role Overview
The Executive Assistant role supports the CEO and executive leadership with high-level administrative and operational tasks. Responsibilities span managing executive calendars, communication, strategic initiatives, and organizing meetings and corporate events. The position requires meticulous planning and coordination of logistics, budget management, vendor relations, and event execution from start to finish. This role is primarily onsite at the Atlanta Support Center with a hybrid schedule including one day remote per week.
Key Responsibilities
- Deliver top-tier administrative support to the CEO and executives across the organization.
- Effectively manage complex calendars, prioritize and handle scheduling conflicts.
- Act as a primary contact point for executive communications ensuring prompt and organized responses.
- Prepare and distribute sensitive correspondence, reports, presentations, and meeting materials.
- Coordinate logistics for board, leadership, franchise, and executive meetings including minutes and follow-up actions.
- Arrange domestic and international travel plans with comprehensive itinerary and expense tracking.
- Maintain consistent alignment of executive and corporate calendars with business priorities and events.
- Lead and manage company-wide events and special projects, handling vendor liaison, budgets, and onsite coordination.
- Support budget planning efforts and oversee vendor management to optimize cost effectiveness.
- Take on additional administrative and project-related tasks as assigned.
Candidate Qualifications
- Minimum of 5 years in administrative roles managing executive calendars, travel, meetings, and events.
- Demonstrated ability to uphold confidentiality with sensitive information.
- Exceptional organizational aptitude with strong skills in time management and prioritization.
- Excellent written and verbal communication abilities.
- Sound judgment and high attention to detail and accuracy.
- Proactive and resourceful problem-solving and project management skills.
- Capability to multitask and thrive in a fast-paced work environment independently.
- Professional interpersonal skills to cultivate effective relationships internally and externally.
- Proficient user of Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
- Associate's degree preferred but not mandatory.
