Facility Executive

Overview

The Facility Executive plays a vital role in managing the daily operational aspects of the facility or campus, ensuring maintenance, safety, and site services are performed according to company policies and client requirements.

Key Responsibilities

• Oversee day-to-day facility operations including janitorial, life-safety systems, engineering, and general upkeep, ensuring compliance with organizational policies and client instructions.
• Manage all maintenance initiatives affecting both the interior and exterior property conditions and aesthetics.
• Respond swiftly to requests regarding building maintenance, repairs, and cleaning from occupants under the guidance of the Facility Manager, while implementing ongoing contracts to address operational needs.
• Accurately prepare and maintain site-specific documentation and reporting such as Property Information Books, Operating Manuals, Emergency and Safety Procedures, Compliance Logs (Local Codes, ADA, OSHA), various operational logs, purchase orders, vendor insurance certificates, as-built drawings, and yearly property condition and performance reports.
• Prepare budgets, financial statements, contracts, expenditure records, and purchase orders related to the facility or complex as assigned.
• Support capital budget development by providing necessary information, contributing to long-term maintenance planning, facility improvements, and cost-saving initiatives.
• Collect and analyze data to generate reports for evaluating facility management objectives effectively.
• Maintain in-depth knowledge of management contracts, vendor agreements, and other relevant building or facility contracts, ensuring compliance with all stipulations.
• Monitor tenant and vendor insurance compliance, and coordinate related claims as necessary.
• Conduct proactive facility inspections including systems, rooms, common areas, reporting issues and findings promptly to the Facility Manager.
