Role Summary
This position involves preparing legal documents such as letters, NOCs, and contracts in both English and Arabic. The role is responsible for creating and managing company registers including POAs, trade licenses, AoAs, and trademarks, alongside maintaining logs for contracts and legal tasks.
Key Duties
- Ensure timely follow-up and management of renewal dates across various legal contracts, corporate records, and POAs.
- Coordinate with Abu Dhabi's Public Notary offices for document approvals, amendments, and notarization processes.
- Support establishment of new group subsidiaries and handle licensing procedures.
- Oversee auditing and monitoring of invoices from external legal and service providers to ensure compliance with fee caps and budgets.
- Maintain a legal precedent database and liaise with business units regarding access and use of legal resources.
- Assist with legal translation tasks or outsource translations when necessary.
- Help the General Counsel manage the Legal Department operations, including scheduling meetings, recording minutes, and tracking action items.
- Provide secretarial and administrative support to lawyers, especially for reviewing, formatting, and modifying complex legal documents to uphold professional and corporate standards.
- Assist with the maintenance of Board records and preparation and distribution of Board meeting minutes.
- Safeguard company registers and related legal records.
Qualifications
- Degree in law or paralegal certification; alternatively, a general office management qualification combined with substantial legal experience.
- Proficiency with Microsoft Office applications.
- At least five years of experience in a reputable law firm or corporate legal department.
Experience and Competencies
- Draft pleadings, motions, briefs, and case summaries.
- Review and draft corporate contracts, AoAs, resolutions, and NDAs.
- Manage and organize case files, corporate documents, and files for significant transactions.
- Serve as a primary contact for clients, external counsel, and court officials.
- Familiarity with electronic submission of legal documentation to federal or municipal courts is preferred.
- Knowledge of corporate governance, mergers and acquisitions support, and regulatory compliance filings is an advantage.
- Previous experience with asset management, property management, facilities management, real estate, construction, or infrastructure sectors is highly favorable.
- Excellent verbal and written communication skills in both English and Arabic, including presentation abilities.
- Ability to maintain composure and prioritize under pressure with multiple competing demands.
- Commitment to fulfilling tasks efficiently, which may require early starts or late finishes.
- Interpersonal skills that accommodate diverse cultural backgrounds.
- High ethical standards and strict confidentiality concerning legal department work.
