Job Overview
Join as a trainee in a multinational corporate setting to assist in internal communication, documentation, and reporting tasks utilizing MS Excel and MS Office. Work onsite in a daytime shift collaborating with various departments while enhancing analytical, coordination, and communication skills to support efficient business operations and accurate information dissemination.
Key Responsibilities
- Facilitate daily internal communication by crafting clear messages and structured updates that promote transparent information exchange across teams and departments.
- Develop and update accurate Excel spreadsheets to monitor metrics, status reports, and task tracking, assisting teams in decision-making.
- Create professional reports, presentations, and documents using MS Office tools to aid meetings, reviews, and communication with management in a timely, organized way.
- Consolidate data from diverse sources into standardized formats to simplify analysis and provide stakeholders with easily comprehensible insights.
- Coordinate both face-to-face and digital communication with team members to gather information, clarify requirements, and confirm task completions.
- Organize electronic files and shared folders systematically for easy access and reuse of important documents, templates, and references.
- Assist in scheduling meetings, preparing agendas, and recording action items to improve the effectiveness and follow-up of team interactions.
- Review documents and spreadsheets for accuracy, consistency in formatting, and clarity in language to minimize errors and enhance professionalism.
- Address routine internal inquiries with clear and respectful communication, escalating complex issues to appropriate personnel.
- Adhere to established processes, templates, and checklists ensuring consistent execution of recurring tasks according to company quality standards.
- Document straightforward procedures and work instructions as directed by senior colleagues to enable reliable task repetition by others.
- Suggest improvements for templates, reports, and communication workflows to save time, reduce rework, and enhance colleague experience.
- Engage actively in on-the-job training by seeking feedback, shadowing senior team members, and applying newly acquired skills to daily responsibilities.
Qualifications
- Basic proficiency in MS Excel, including the use of formulas, tabular layouts, and formatting techniques for clear data presentation.
- Competent in MS Office applications to produce business-quality documents, presentations, and emails with clarity, structure, and consistency.
- Effective written and verbal English communication skills for drafting messages, summarizing information, and interacting respectfully with stakeholders.
- Motivation to learn corporate communication protocols, etiquette, and data management practices, quickly adapting to feedback and new software tools.
- Attention to detail, ability to follow instructions precisely, self-check work for errors, and independently manage simple duties under supervision.
