Position Overview

The Production Manager role supports the Head of Production in planning and delivering a variety of shows, events, installations, and functions for the Festival.

Scope of Work

  • Collaborate with the programming team to scope upcoming festival events.
  • Oversee Project Managers and Event Coordinators as delegated by the Head of Production.
  • Create and adjust event production timelines and schedules.
  • Develop Vectorworks plans to prepare for events.
  • Prepare Event Management plans and coordinate Development Applications.
  • Partner with venues on operations, logistics, technical setups, rehearsal space allocation, and crowd management.
  • Coordinate with Programming and External Relations regarding sponsors and activations.
  • Work alongside Programming and Marketing teams on signage needs.
  • Produce and distribute event manuals including risk and evacuation procedures.
  • Supervise designated events during execution.
  • Manage specified event budgets including reconciliation and invoice handling via the Sydney Festival ordering system with approval from the Head of Production.
  • Participate in all relevant meetings and site inspections.
  • Work flexible hours to accommodate meetings with international partners.
  • Assist in preparing and delivering essential event documentation for government bodies and venues.
  • Coordinate contractors, hirers, crews, and transportation logistics including load-ins and load-outs in line with Festival schedules.
  • Maintain accurate event documentation and ensure filing is current.
  • Facilitate a technical environment conducive to performing companies’ success.
  • Ensure all borrowed or rented equipment is returned and debts are settled.
