Job description
Position Overview
The Production Manager role supports the Head of Production in planning and delivering a variety of shows, events, installations, and functions for the Festival.
Scope of Work
- Collaborate with the programming team to scope upcoming festival events.
- Oversee Project Managers and Event Coordinators as delegated by the Head of Production.
- Create and adjust event production timelines and schedules.
- Develop Vectorworks plans to prepare for events.
- Prepare Event Management plans and coordinate Development Applications.
- Partner with venues on operations, logistics, technical setups, rehearsal space allocation, and crowd management.
- Coordinate with Programming and External Relations regarding sponsors and activations.
- Work alongside Programming and Marketing teams on signage needs.
- Produce and distribute event manuals including risk and evacuation procedures.
- Supervise designated events during execution.
- Manage specified event budgets including reconciliation and invoice handling via the Sydney Festival ordering system with approval from the Head of Production.
- Participate in all relevant meetings and site inspections.
- Work flexible hours to accommodate meetings with international partners.
- Assist in preparing and delivering essential event documentation for government bodies and venues.
- Coordinate contractors, hirers, crews, and transportation logistics including load-ins and load-outs in line with Festival schedules.
- Maintain accurate event documentation and ensure filing is current.
- Facilitate a technical environment conducive to performing companies’ success.
- Ensure all borrowed or rented equipment is returned and debts are settled.
- Report any budget, quality, or safety issues to the Head of Production promptly.
- Provide general support as requested by the Head of Production.
- Conduct thorough debriefs following the Festival’s conclusion.
- Operate efficiently in a fast-paced, intensive environment requiring on-the-fly problem-solving and conflict resolution.
- Build strong relationships and communicate effectively with internal teams, senior management, the Board, and external stakeholders.
- Manage multiple, often conflicting priorities and staff across diverse business areas.
- Think strategically, challenge existing processes, and act with discretion and diplomacy.
Skills and Qualifications
- Preferably possess knowledge and experience within the not-for-profit arts sector.
- A genuine enthusiasm for live events across genres.
- Minimum five years’ experience in live theatre or event production.
- Exceptional attention to detail and time management capabilities.
- Proven experience in developing new events or theatrical works.
- Strong written and verbal communication skills.
- Effective problem-solving and critical thinking abilities.
- Team-oriented with capability to perform well under pressure.
- Demonstrated initiative, motivation, and ability to work independently.
- Skilled in managing multiple projects under tight deadlines.
- Proficient with Microsoft Office, especially intermediate Excel skills.
- Experience with CAD software, preferably Vectorworks.
- Competent in production schedule development and budget management.
