Overview

This position entails providing high-level executive assistance within a nationally recognized trade association headquartered in Washington, DC. The role supports top-level leadership, including the President/CEO and Executive Vice President, facilitating their daily operations and strategic initiatives.

Key Duties

  • Manage complex calendars, coordinate meetings and travel plans, track expenses, and assist with project support for senior executives.
  • Prepare and organize briefing documents for important meetings and events.
  • Serve as the communication bridge between the executive team and internal staff, Board members, member organizations, and external industry contacts.
  • Organize Board of Directors materials and handle related communications.
  • Work alongside the Director of the Executive Office to support internal communications, event organization, and ongoing projects.
  • Maintain availability for additional working hours when organizational demands arise.

Candidate Requirements

  • Bachelor’s degree is mandatory.
  • Between 4 to 6 years of experience providing executive administrative support.
  • Preferably experienced in trade associations, Capitol Hill, or consulting/professional services sectors.
  • Strong skills in Microsoft Office suite (Word, Excel, Outlook, Access, PowerPoint) and Adobe Acrobat.
  • Proficient in Internet research and navigation.
  • Exceptional command of written communication including grammar and proofreading.
  • Exhibits sound judgment and maintains confidentiality with sensitive information.
  • Highly organized and adept at managing multiple priorities and deadlines.
  • Professional demeanor, especially in interactions with senior stakeholders.

Additional Information

  • This role requires occasional travel and extra hours to support important meetings and events.
  • Work will take place primarily in a professional office environment with a need for discretion and polish.
